About the Role

We are seeking a highly organized and detail-oriented Business Administrator to join our team at Hays Specialist Recruitment Limited. As a Business Administrator, you will be responsible for providing administrative support to our site-based teams, managing front desk operations, and assisting with finance and order administration.

Key Responsibilities
  • Front Desk & Admin Support: Provide exceptional customer service, answer phone calls, organize meetings, book travel and hotels, manage business supplies, and support site-based teams.
  • Finance & Order Admin Assistance: Match purchase invoices, reconcile supplier statements, process sales invoices, update logs, mark projects completed in Sage, process purchase and sales orders, and maintain records.
  • Premises & Equipment Coordination: Coordinate inspections for fire safety, intruder alarms, emergency lighting, gas boilers, pest control, lifting equipment, and arrange Fire Risk Assessments.
  • HSE & Induction: Complete monthly HSE reports, support H&S Committee meetings, deliver site inductions, and issue Permits to Work.
  • Communications & Events: Create and share business news on internal portals, organize promotional events like Apprentice Open Days and Career Fairs, and liaise with colleagues and external stakeholders.
Requirements

To succeed in this role, you will need a good level of experience using Microsoft Packages and SAGE. Personal attributes required include active listening, initiative, and great attention to detail, complemented by a solid work ethic.
