Meetings and Events Coordinator

Ryder Reid Legal is seeking a skilled Meetings and Events Coordinator to join our team on a permanent basis at our London office. In this role, you will assist in planning and executing a variety of internal and external meetings, conferences, and networking events, working closely with our Marketing Department and key event stakeholders.
Key Responsibilities:
- Event Intake: Review event brief materials and documentation, ensuring adherence to global brand standards and quick turnaround.
- Delegate Management: Set up event registration, compile weekly RSVP status reports, reconcile payments, and resolve client inquiries promptly.
- Logistics: Plan and execute all event logistics, liaising with vendors for food & beverage, production, giveaways, etc., while adhering to timelines, brand standards, and budget constraints. Participate in event intake calls to gather event objectives, document deliverables, and ensure efficient project management. Provide on-site event coordination support as needed.
- Event Deliverables: Coordinate the production of on-site event materials, such as name badges, tent cards, signage, CLE forms & surveys, menu cards, and place cards. Handle the packing and shipping of all materials.
- Administrative Tasks: Monitor and update the event calendar, maintain event budgets, process invoices, reconcile expenses, and assist with budget tracking and reporting.
- Industry Knowledge: Stay up-to-date on industry topics and trends, maintain excellent venue knowledge through research and site visits.
- Additional Tasks: Assist with other tasks as assigned.
Qualifications:
- Minimum of two years' relevant meeting planning experience, preferably at a law firm or other professional services firm.
