In this position, you will play a crucial role in orchestrating a diverse range of internal and external meetings, conferences, and networking events, collaborating closely with the firm's Marketing Department and key stakeholders.
Event Preparation:
Review event brief documentation, ensuring compliance with global branding standards and prompt execution.
Attendee Coordination:
Manage event registration processes, compile weekly RSVP updates, handle payment reconciliations, and address client inquiries efficiently.
Logistical Oversight:
Plan and manage all logistical aspects of events, coordinating with vendors for catering, production, giveaways, and more, while adhering to timelines, brand guidelines, and budget limitations.
Participate in event planning discussions to gather objectives, document deliverables, and ensure effective project oversight. Provide on-site coordination support as required.Event Materials:
Oversee the creation of on-site event materials, including name badges, signage, and informational forms.
Manage the packing and shipping of all necessary materials.Administrative Responsibilities:
Maintain the event calendar, oversee event budgets, process invoices, reconcile expenses, and assist with budget tracking and reporting.
