Premises Coordinator Job Description

Bridge Recruitment is seeking a skilled Premises Coordinator to join our client's Facilities Team. As a key member of the team, you will be responsible for ensuring operational requirements are met and services are delivered to the highest standard.

Key Responsibilities:
  • Identify and log building repairs and defects with the facilities assistant in the CAFM System.
  • Complete routine maintenance and repairs, allocated jobs will be issued by the facilities assistant from the CAFM System.
  • Manage minor works projects, including re-decoration of specified areas such as offices and meeting rooms.
  • Provide handyman services and assistance on projects, including internal moves.
  • Ensure the upkeep and health and safety of the building, including fire exits and plant areas.
  • Act as the first point of contact for service providers and contractors, ensuring they receive building induction.
  • Support the Facilities Manager in ensuring the health, safety, and security of the site.
  • Support the Facilities Manager in coordinating all statutory checks.
  • Manage assigned PPMs, including weekly fire call point tests and return job sheets to the facilities assistant to close off on the CAFM system.
  • Ensure office printers are maintained in working order, stocked with paper and toner, and report any issues to the facilities assistant.
  • Manage the regular maintenance of first aid kits and AEDs.
  • Assist the Facilities Manager with a rolling programme of PAT testing.
  • Monthly reporting of WCs, air fresheners, and hygiene bins, reporting any defects or issues to the facilities assistant prior to the monthly cleaning meeting.
Requirements:
  • Ability to work as part of a team and under own initiative.
  • Experience of working in a customer-facing role.
  • Experience of working in a multi-disciplinary team.
  • Reasonable level of IT skills, including the use of MS Outlook and Word.
  • Good communicator, oral and written.
  • Excellent attention to detail.
  • Analytical thinking and problem-solving skills.
  • Lots of initiative and a proactive approach, coupled with flexibility and ability to prioritize.
  • Understanding of, and commitment to, equality, diversity, and inclusion as set out in the Equal Opportunity policy.
  • IWFM qualification (or evidence of working towards qualification).
  • Health and Safety training, First Aid at Work training.
  • PAT testing training.
  • Experience of working with FM service contractors.
  • Experience of resolving maintenance issues.
