Position Overview

The successful candidate will deliver exceptional administrative and secretarial assistance to the Directorate Manager, Clinical Director, and Matron for Trauma & Orthopaedics. This role encompasses a comprehensive personal assistant service, including effective diary management, support in report preparation, and minute-taking, among other responsibilities aligned with the position.

The individual will oversee the daily operations of the Orthopaedic Trainee Doctor rota and assist the Administration Manager in managing the Consultant and Registrar rota. This will require strong communication, planning, and organizational skills to ensure adequate medical staffing levels.

Key Responsibilities

The role includes, but is not limited to, the following:

  • Providing administrative and project support to the Trauma & Orthopaedics leadership team, including summarizing reports and ensuring action items are communicated and followed up.
  • Monitoring incoming correspondence and ensuring that necessary actions are identified and escalated to the appropriate manager.
  • Handling routine communications, drafting responses as needed, and ensuring relevant background information is readily available.
  • Taking minutes during meetings and tracking action points for follow-up in subsequent meetings.
  • Preparing agendas and ensuring that all necessary documentation for meetings is distributed promptly.
  • Creating and preparing presentation materials as required by the leadership team.
  • Establishing and maintaining efficient document retrieval and filing systems to enhance departmental productivity.
  • Managing electronic diary systems and collaborating with the leadership team to ensure effective scheduling of appointments.
  • Coordinating with other administrative staff to provide comprehensive support to the Directorate team, ensuring coverage during absences.
  • Overseeing stationary inventory, including ordering supplies to maintain adequate resources for the department.
  • Providing administrative support to senior staff as needed and undertaking additional relevant tasks as assigned by the leadership team.
  • Assisting with the management and monitoring of the Surgical Bed Board, ensuring effective communication regarding bed capacity concerns.
  • Facilitating access to hospital IT systems for new medical staff and ensuring compliance with operational protocols.
  • Acting as the primary contact for medical staff regarding locum duties and leave requests, ensuring accurate reporting and compliance with policies.
  • Collaborating with administration managers to coordinate theatre schedules and ensure compliance with staffing regulations.
  • Participating in team meetings and contributing to departmental objectives.
  • Maintaining confidentiality in all communications and securing sensitive information.
  • Engaging in ongoing training to stay updated on policies and procedures relevant to the role.
