About the Role

We are seeking a highly organized and detail-oriented individual to join our team as a Health and Social Care Records Assistant at Avon & Wiltshire Mental Health Partnership NHS Trust.

Key Responsibilities
  • Filing and retrieving Health and Social Care Records on a daily basis, adhering to Trust Policies and Procedures.
  • Assisting in maintaining the Health and Social Care Records in a tidy order while transferring between departments.
  • Ensuring incoming and outgoing post is in a tidy order, ready for despatch, and delivering Health & Social Care Records to other areas as needed.
  • Providing administrative support in response to Subject Access Requests and ensuring compliance with the Data Protection Act.
  • Liaising with professional and administrative staff within the Trust on issues related to Health and Social Care Records.
  • Receiving and responding to telephone calls and enquiries related to Health and Social Care Records issues.
  • Assisting in the sorting of incoming mail and ensuring outgoing mail is despatched in a timely manner.
  • Supporting the Records Manager in collating information required for clinical and administrative processes.
  • Providing statistical information as requested by the Records Manager.
  • Monitoring stationery supplies and re-ordering as necessary.
  • Providing assistance to other colleagues to ensure the efficient running of the Health and Social Care Records Department.
Person Specification
  • Essential:
    • Good standard of education, minimum 3 GCSEs or equivalent.
    • Computer literate with knowledge of Microsoft Word and Excel.
    • ECDL or equivalent.
    • Knowledge of Health Records and Systems.
    • Organisational skills.
    • Good understanding and working knowledge of the Data Protection Act 2018, GDPR Health Service Circular 1999/053, and the Freedom of Information Act.
    • Ability to work under own initiative.
    • Experience of dealing with patients and/or relatives.
    • Good team player.
    • Patience.
    • Flexible.
    • Full driving licence.
  • Desirable:
    • Knowledge of Mental Health Records.
    • Minimum of two years health record experience.
    • Experience of Subject Access Requests.
