About the Role

We are seeking a highly organized and detail-oriented individual to join our team as a Health and Social Care Records Assistant at Avon and Wiltshire Mental Health Partnership NHS Trust.

Key Responsibilities
  • Filing and retrieving health and social care records on a daily basis, adhering to Trust policies and procedures.
  • Assisting in maintaining the health and social care records in a tidy order while transferring between departments.
  • Ensuring incoming and outgoing post is in a tidy order, ready for dispatch, and delivering health and social care records to other areas as needed.
  • Assisting with death registration and liaising with professional and administrative staff within the Trust on issues related to health and social care records.
  • Receiving telephone calls and enquiries regarding health and social care records and responding appropriately.
  • Assisting in the sorting of incoming mail and ensuring outgoing mail is dispatched by maintaining current agreed systems.
  • Liaising with external agencies to ensure compliance with the Data Protection Act and the Subject Access Request process, and providing administrative support in response to SARs.
  • Supporting the Records Manager in collating information required for clinical and administrative processes and providing statistical information as requested.
  • Monitoring stationery supplies and re-ordering as necessary using established procedures.
  • Providing assistance to other colleagues to ensure the efficient running of the Health and Social Care Records Department.
Person Specification
  • Educational - A good standard of education, minimum 3 GCSEs or equivalent, computer literate with knowledge of Microsoft Word and Excel, ECDL or equivalent, knowledge of health records and systems.
  • Occupational - Organizational skills, a good understanding and working knowledge of the Data Protection Act 2018, GDPR Health Service Circular 1999/053, and the Freedom of Information Act.
  • Specific Skills - Ability to work under own initiative, experience of dealing with patients and/or relatives.
  • Personal Qualities - A good team player, patience.
  • Circumstances - Flexible, full driving license.
Desirable Criteria
  • Occupational - Knowledge of mental health records, minimum of two years health record experience.
  • Specific Skills - Experience of subject access requests.
