Position Overview

The Healthcare Reception Specialist is responsible for managing a variety of front desk operations and providing essential support to our diverse healthcare team. Key responsibilities include welcoming and guiding patients, handling patient registrations, scheduling appointments, processing information, and assisting patients as needed. This role serves as the primary point of contact for patients, facilitating the flow of information, messages, and inquiries to the clinical staff while coordinating with various team members and external service providers.

The role requires flexibility to work across multiple locations as needed, ensuring seamless service delivery.

Key Responsibilities

The successful candidate will be expected to deliver high-quality reception and administrative support for the practice in a professional and courteous manner. Responsibilities include:

  • Overseeing and managing the appointment scheduling system
  • Processing requests for appointments via phone, in-person, and electronically
  • Handling incoming calls, directing them appropriately or addressing the caller's needs
  • Managing incoming and outgoing correspondence
  • Guiding patients to the appropriate services
  • Initiating and responding to communications from patients, team members, and external organizations
  • Organizing and maintaining patient records as required
  • Entering data for new and temporary patient registrations and relevant information
  • Updating patient healthcare records as necessary
  • Scanning and attaching patient-related documents to their healthcare records
  • Addressing all queries, including administrative inquiries, efficiently
  • Maintaining a clean and organized workspace at all times
  • Assisting clinical staff with general tasks as requested

Qualifications

Essential

  • GCSE grade A to C in English & Maths

Experience

Desirable

  • Previous experience in a similar healthcare environment
