About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Aspris Education and Children's Services. As a key member of our administration team, you will be responsible for providing exceptional support to our staff and ensuring the smooth operation of our front desk.

Key Responsibilities
  • Front of House Duties: Greet visitors, answer phone calls, and respond to emails in a professional and courteous manner.
  • Visitor Management: Monitor and record visitor sign-in, issue visitor badges, and ensure staff escort visitors and contractors around the school.
  • Student Attendance: Enter student registration data, call parents/careers when students are absent, and ensure information is passed to SLT.
  • Colleague Attendance: Monitor the absence line and record notifications of staff absence.
  • Morning/Afternoon Briefings: Minute the Morning and Afternoon Briefings and distribute to all staff.
  • Parent Enquiries: Receive calls from prospective parents and circulate to the referrals coordinator.
  • Pupil Transport: Maintain the database and contact details for Local Authority pupil transport.
  • School Vehicles: Monitor the vehicle booking system and liaise with the Support Services Manager on vehicle maintenance issues.
  • Purchase Orders: Monitor and order stationery in accordance with the school budget, in conjunction with the Senior Administrator.
  • Petty Cash: Administer petty cash requests and process receipts, in conjunction with the Senior Administrator.
  • School Supplies: Monitor and maintain classroom and stationery resources and re-order as necessary.
  • Meetings: Support with minuting student review meetings and other parent/school meetings as required by SLT, in conjunction with the Senior Administrator.
  • Team Responsibilities: Maintain a clean, tidy, and organized general work environment, including paperwork, workstations, blinds, plants, etc.

  • Communication: Excellent communication skills, with the ability to communicate effectively with staff, students, and visitors.
  • Organization: Highly organized and able to prioritize tasks effectively.
  • Attention to Detail: Strong attention to detail and ability to maintain accurate records.
  • Teamwork: Ability to work collaboratively as part of a team.
