About the Role

We are seeking a highly organized and detail-oriented Administrative and Audit Assistant to join our Transfusion Team at Great Western Hospitals NHS Foundation Trust. As a key member of our team, you will provide administrative and audit support to ensure the smooth operation of our blood transfusion services.

Key Responsibilities
  1. Provide administrative support to the Transfusion Practitioner, including maintaining accurate records, preparing reports, and coordinating meetings.
  2. Assist with the upkeep and improvement of the electronic blood tracking system, including maintenance and upkeep of training records.
  3. Support the Transfusion Practitioner with a wide range of duties, including filing, photocopying, preparing and mailing correspondence, answering telephones and bleeps.
  4. Maintain the training and competency database for transfusion-related competencies and for the electronic blood tracking project.
  5. Assist with teaching staff how to use the Sample 360 electronic sample labelling system for transfusion blood samples.
  6. Visit clinical areas as necessary to gather audit data and deliver patient transfusion leaflets.
  7. Take an active role in administering the electronic blood tracking system, including user access rights, training records, and running data reports.
  8. Input data daily for Blood Stocks Management.
Person Specification

We are looking for a candidate with:

  • Possession of GCSE Mathematics and English grade C/4 or above, or equivalent.
  • 2 NVQ Level 3 in Administration, Business or IT, or equivalent experience.
  • Demonstrable working knowledge of Microsoft packages (especially Excel, PowerPoint, Word, and Outlook).

Desirable qualifications include E/ICDL, Certificate in Medical Terminology, and working knowledge of Microsoft Access database.

We are looking for a candidate with experience of working within an office environment, ability to problem solve, ability to prioritize workload, and experience of maintaining computerized files, creating spreadsheets and databases.

Desirable experience includes previous experience of working within the NHS and working knowledge of medical terminology.
