About the Role

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Senior Leadership team. As a key member of our team, you will be responsible for providing seamless and efficient support to our Senior Executive, ensuring the smooth operation of their daily activities.

Key Responsibilities
  • Diary Management: Proactively manage the Senior Executive's diary, ensuring timely and effective scheduling of meetings, appointments, and events.
  • Email and Inbox Management: Manage the Senior Executive's email inbox, responding to messages, and ensuring prompt action on urgent matters.
  • Travel Arrangements: Coordinate domestic and international travel arrangements, including itinerary planning, booking transport and accommodation, and securing visas and other travel documentation.
  • Meeting and Event Planning: Schedule internal and external meetings and events, often with multiple global participants, requiring regular liaison with internal and external counterparts to coordinate availability.
  • Minute Taking and Reporting: Take minutes at meetings and manage actions, notes, and other documentation.
  • Document Preparation: Prepare Word, Excel, and PowerPoint presentations, meeting agendas, monthly, quarterly, or annual reports, projects, and other documents.
  • Expense Management: Complete expenses in accordance with specified time scales and company formats.
  • Confidentiality and Discretion: Use discretion, confidentiality, and good judgment to handle sensitive and confidential matters.

Requirements
