About the Role

We are seeking an experienced Administrative Support Specialist to join our MHLDA Team at the Leeds and York Partnership NHS Foundation Trust. The successful candidate will provide comprehensive administration support to the team, ensuring the smooth operation of our executive office.

Key Responsibilities
  • Manage communications on behalf of the MHLDA with tact and professionalism.
  • Work on own initiative, managing conflicts of work, planning and prioritising own workload, and activities to achieve the required deadlines.
  • Establish and maintain good working relationships both internally and externally.
  • Produce high-quality documents from written, recorded, dictated material etc.
  • Perform any other duties which fall within the range of this post grade, within the area of responsibility as defined above.
  • Contribute to initiatives which improve the working arrangements and standard operating procedures for self and others within the administration function, identifying continuous improvement and development opportunities within the function.
  • Provide cross-cover support within the administration function as required.
  • Work flexibly within core working hours to ensure the executive office is appropriately covered and supported.
  • Support the day-to-day running of the team.
  • Participate in regular team meetings.
  • Attend all mandatory training.
  • Participate annually identifying, developing and agreeing your own development plan with your line manager using the Trust Appraisal process.
  • Comply with all Trust policies, procedures and protocols.
  • Pay regard to materials and equipment used.
  • Carry out duties with due regard to the Trusts Equal Opportunity Policy.
  • Seek advice and support from your line manager whenever necessary.
Person Specification
  • Extensive administrative and secretarial experience at NVQ 3 level or equivalent.
  • Experience of working within a team and cross system working.
  • Experience of managing meeting administration.
Requirements
  • Skilled within diary management, electronic filing systems and accurate database input.
  • Working experience and/or qualifications of Microsoft packages in particular Outlook, Word, Excel and Powerpoint.
