About the Role

We are seeking a highly organized and detail-oriented Project Administrator to join our team in the UK. As a key member of the Project Admin Team, you will provide administrative support to project managers and teams, ensuring the smooth execution of projects.

Your key responsibilities will include:

  • Providing administrative support to project managers and teams, including scheduling meetings, preparing documents, and coordinating travel arrangements
  • Managing project calendars, including tracking holidays, extended leave, and absences
  • Preparing and distributing project materials, such as presentations, progress reports, and registers
  • Assisting with document control activities, including working with the Document Control team to ensure compliance with company policies
  • Coordinating and managing briefing and registration processes for subcontractors, ensuring compliance with company policies and maintaining accurate records
  • Supporting the formatting and proof-reading of documents for publication
  • Liaising with external stakeholders, including clients, suppliers, and partners
  • Creating and managing project files in data management systems, maintaining accurate and up-to-date project information and delivery dates
  • Handling general internal and external correspondence within the project organization
  • Organizing and arranging business travel and accommodation for project team members as required
  • Supporting project teams with project controlling and invoicing tasks, tracking project expenses and generating invoices for clients
  • Producing project management progress reports for internal and external stakeholders
About You

We are looking for a highly organized and detail-oriented individual with excellent communication and time-management skills. You will have experience in a project administration or coordination role and be proficient in Microsoft Office applications, including Word, PowerPoint, and Excel.

You will also have:

  • Experience with project management tools and systems
  • Diary management experience
  • Experience with MS Project or other project management applications
  • A successfully completed higher education qualification, preferably in business administration
  • A customer-oriented approach, with self-reliance, reliability, and a structured way of working
  • The ability to thrive in a fast-paced, team environment
  • Effective prioritization and decision-making skills
  • Excellent communication and interpersonal skills
