Overview of the Role

The successful candidate will play a crucial role in supporting the daily operations of the Materials Management service across designated areas within the organization.

This position entails a commitment of 37.5 hours per week, structured into 7.5-hour shifts from 07:00 to 16:00, Monday through Friday.

Operating within established procedural frameworks, the primary goal is to guarantee a prompt and efficient receipt and distribution service to the East Lancashire Hospitals NHS Trust.

The role encompasses a variety of responsibilities, some of which will require independent decision-making.

Collaborating with fellow team members, the post holder will provide a professional procurement and logistics service to the Trust.

Additionally, the candidate will assist management in achieving the strategic objectives of the organization.

Key Responsibilities

We are currently seeking to appoint a Supervisor for Receipt and Distribution, who will report directly to the Distribution Manager.

The post holder will be engaged in the operational activities at the organization, ensuring a timely and effective service.

This role involves a diverse range of tasks, requiring the ability to exercise initiative.

Responsibilities include:

  • Receiving, verifying, and organizing deliveries as per the materials management service, ensuring proper rotation of items and adherence to expiry dates, while maintaining a tidy storage area.
  • The position necessitates physical exertion, often in limited spaces, involving manual handling of roll cages and unpacking products onto storage shelves.
  • Timely processing of discrepancies related to returns and credits.
  • Keeping all relevant documentation updated in accordance with code and location modifications.
  • Demonstrating flexibility in working hours to accommodate customer needs.
  • Providing cover for the Stores Manager as required.
  • Ensuring compliance with financial policies and procedures of the Trust.
  • Performing additional duties as necessary.

Detailed Responsibilities

MAIN DUTIES:

The post holder will assist in the daily Receipt and Distribution service, ensuring the delivery of goods to all departments.

Responsibilities include checking deliveries and placing items in their designated locations or delivering them directly to the requester.

The role requires physical effort, often in confined spaces, involving manual handling and unpacking of products.

Ensure timely processing of discrepancies for returns and credits.

Maintain up-to-date records in line with any changes in codes or locations.

Exhibit flexibility in working hours to meet customer demands.

Provide support to other Materials Management Assistants as directed by the Supply Chain Supervisor.

Ensure adherence to financial policies and procedures of the Trust.

Other duties as assigned.

COMMUNICATION:

Collaborate closely with other members of the Materials Management and Procurement Team, as well as colleagues across various departments.

Effective communication will involve providing guidance through face-to-face interactions, telephone conversations, meetings, written correspondence, and emails.

Address customer inquiries and complaints promptly.

Foster strong working relationships with Trust colleagues.

Build and maintain effective relationships with customers and suppliers.

TRAINING AND DEVELOPMENT:

Participate in all mandatory training programs.

Commit to personal and professional development to adapt to the evolving demands of the role.

Engage in relevant training activities.

ORGANIZATIONAL RESPONSIBILITIES:

Ensure the timely receipt and delivery of goods for designated departments.

Contribute to the development and performance of the Supply Chain and Materials Management Team in alignment with the Trust's strategic objectives.

Report clinical incidents in accordance with Trust procedures and maintain accurate records.

Uphold a clean and safe working environment.

Comply with the Trust's Health & Safety policies.

Maintain appropriate records in accordance with audit procedures.

Provide input and assistance in the implementation of new technological processes in line with departmental strategies.

Report savings achieved in accordance with departmental procedures.

PROFESSIONAL RESPONSIBILITIES:

Maintain a comprehensive understanding of Trust Policies and Procedures.

Ensure compliance with Trust Standing Financial Instructions and relevant legislation.
