Position Overview:
We are seeking a dedicated Office Manager to oversee our administrative functions, ensuring a seamless experience for all staff and visitors. This role demands exceptional organizational skills to coordinate both internal and external events, contributing to a vibrant workplace. The ideal candidate will thrive in a fast-paced environment, handling diverse tasks on a daily basis. This is a part-time position, requiring 22.5 hours of commitment each week.
Team Structure:
Our office comprises a multi-disciplinary team that delivers comprehensive property services, including Planning and Development, Leisure, and Rural services. With a workforce of 115 professionals, we cater to both public and private sector needs.
Key Responsibilities:
Health & Safety and Compliance:
- Overseeing facilities management tasks and ensuring compliance with health and safety regulations.
- Coordinating with service providers to secure competitive rates.
- Managing office administration and IT resources.
- Maintaining a tidy and organized office environment.
- Building and nurturing relationships with external partners.
Staff Management and Additional Duties:
In this role, you will focus on supervising reception staff and conducting staff inductions.
- Facilitating administrative meetings.
- Managing reception operations.
- Overseeing the complete recruitment cycle for administrative roles.
- Maintaining records of employee attendance and leave.
- Organizing quarterly departmental meetings, including minute-taking and follow-up on action items.
Marketing Support:
Collaborate with the marketing team to assist with daily marketing initiatives for our office.
Essential Skills:
- Meticulous attention to detail to ensure high-quality output.
- Strong organizational capabilities with the ability to prioritize tasks effectively.
- Excellent interpersonal skills, particularly in client interactions.
- Proactive problem-solving abilities and initiative.
- Strong written communication skills, including grammar and spelling.
- Proficient in IT, including CRM systems and Microsoft Office Suite.
- Willingness to learn new software and systems.
