Job Purpose

We are in search of a highly efficient and seasoned Senior Project Secretary who possesses exceptional communication and administrative capabilities. The ideal candidate will demonstrate a proven track record in managing project documentation, coordinating team activities, and facilitating effective project execution. You will play a vital role in providing extensive support to Clients, Project Managers, and Engineers on a significant energy project.

Key Responsibilities

Project Support: Deliver comprehensive administrative and secretarial assistance to the Client and Project Manager, including workload organization, leave oversight, staff training coordination, and project progress tracking. Documentation Management: Collaborate with Project Engineers to prepare project reports, format presentations, and manage documents in accordance with established filing and archiving protocols. Communication & Coordination: Serve as the primary point of contact for project-related correspondence, ensuring efficient document processing, distribution, and recordkeeping. Facilitate the preparation of project reports, presentations, and other essential documents. Team Leadership: Supervise the activities of Project Secretaries and Junior Project Secretaries, promoting regular team meetings and knowledge-sharing initiatives. Project Completion & Improvement: Contribute to project closure processes and document lessons learned to enhance future project performance. Additional Duties: Manage project communication channels, maintain databases, handle incoming calls, reserve meeting spaces, and assist with general project administration tasks.

Minimum Qualifications:

Significant relevant experience in a dynamic engineering or construction setting. Outstanding communication, interpersonal, and organizational abilities. Proficient in the Microsoft Office Suite.
