Our focus within the UK is primarily directed towards the energy sector, including initiatives related to energy transition. Our team embodies a diverse array of expertise across our operational spectrum, managing projects throughout their lifecycle—from technology and engineering to construction, commissioning, and maintenance services. Additionally, UKOC serves as the project management consultancy hub of excellence for Technip Energies.

Job Purpose

We are in search of a highly organized and seasoned Senior Project Secretary who possesses exceptional communication and administrative skills, along with a proven track record in managing project documentation, coordinating team activities, and ensuring the seamless execution of projects. This role involves providing extensive support to Clients, Project Managers, and Engineers on a significant energy project.

Key Responsibilities

Project Support: Deliver comprehensive administrative and secretarial assistance to the Client and Project Manager, encompassing workload planning, leave management, staff training, and project progress reporting. Documentation Management: Aid Project Engineers in the preparation of project reports, presentations, and document formatting, while expediting deliverables and managing project documentation in accordance with filing and archiving protocols. Communication & Coordination: Serve as the central point of contact for project correspondence, ensuring proper document processing, dispatch, and recordkeeping. Facilitate the preparation of project reports, presentations, and various documents. Team Leadership: Supervise the activities of Project Secretaries and Junior Project Secretaries, promoting regular team meetings and knowledge-sharing initiatives. Project Completion & Improvement: Contribute to project closure activities and identify and document lessons learned for future project enhancements. Additional Duties: Manage project mailboxes, databases, handle phone communications, reserve conference rooms, and assist with general project administration.

Minimum Qualifications:

Extensive relevant experience in a dynamic engineering or construction environment. Exceptional communication, interpersonal, and organizational skills. Proficient in Microsoft Office Suite.
