Position Overview

The primary objective of this role is to deliver administrative assistance to the procurement division at the Centre for Environment, Fisheries and Aquaculture Science. This dynamic team is responsible for securing a variety of contracts that encompass the full spectrum of goods and services necessary for the organization to fulfill its scientific endeavors.

This multifaceted position will require the administration of numerous low-value purchases, which includes conducting low-value procurement activities, as well as providing guidance to colleagues on optimal purchasing strategies. Responsibilities also include managing the central email inbox, updating the team’s SharePoint site, overseeing the contracts database, and creating and revising templates and documents. The ideal candidate will also have the chance to assist other team members with larger-scale procurements and projects.

This role is engaging and diverse, necessitating a proactive attitude, strong communication abilities, and an enthusiastic approach to problem-solving. Key Responsibilities

The core duties associated with this position include, but are not limited to:

  • Generating tender and contractual documents from established templates;
  • Overseeing the low-value 'request for quotation' process, including commercial evaluations and contract awards;
  • Fostering and maintaining collaborative relationships with colleagues and external stakeholders;
  • Monitoring and managing a central Procurement email inbox to ensure timely processing of inquiries;
  • Administering the internal Procurement SharePoint site; and
  • Providing administrative support to the broader Procurement team for larger contracts, procurements, or renewals.

Furthermore, the Centre for Environment, Fisheries and Aquaculture Science reserves the right to assign additional duties and responsibilities that align with the employee's grade. Management will engage in discussions with staff to clarify any changes that may occur, and a new job description will be issued if necessary.

Candidate Profile

  • Ability to take ownership of tasks and contribute innovative ideas;
  • Demonstrated experience in maintaining accuracy and attention to detail;
  • Experience collaborating with a variety of stakeholders using effective communication and influencing skills;
  • Proficiency in MS Office 365 applications, including Word, Excel, MS Teams, and/or other web-based systems;
  • Capacity to work flexibly, manage multiple priorities, and organize workload to meet deadlines;
  • Possession of a CIPS qualification (Level 2 or Level 3) or a commitment to pursue this qualification while meeting all criteria outlined in this specification.
