An exciting opportunity has emerged within our Legal Services and Claims Department at Lancashire Teaching Hospitals. We are seeking a dedicated and motivated individual to become a vital part of our collaborative and dynamic team. This role involves managing and processing Clinical Negligence and Personal Injury claims, with a strong emphasis on continuous learning and professional development.
The ideal candidate will possess a proactive attitude and a flexible approach, demonstrating the ability to work independently as well as collaboratively within a team environment.
Your primary responsibility will be to deliver effective, confidential, and high-quality administrative support to the Legal Services Team in handling clinical negligence and personal injury cases.
Key Responsibilities
You will be responsible for ensuring accurate recording and management of data within the Claims Module of the Datix system. This includes conducting quality checks on claims records and making necessary updates. Additionally, you will assist the Legal Services Team in generating reports and responding to claims data requests.
Your role will also involve managing the retention and destruction of claims records, ensuring that you provide a reliable and confidential administrative service to support the Legal Services Team.
It is essential to maintain the accuracy, security, and confidentiality of personal information pertaining to Claimants, staff members, and other individuals, in compliance with the Data Protection Act and General Data Protection Regulations.

Detailed Responsibilities
- Triage all incoming correspondence via email or postal mail, prioritizing tasks in consultation with your Line Manager.
- Manage the Legal Services email inbox, responding to inquiries or directing them to appropriate team members for timely resolution.
- Assist in the disclosure of medical records and related materials for litigation purposes to relevant parties.
- Provide comprehensive administrative support for clinical negligence and personal injury claims.
- Liaise with external solicitors and keep the Head of Legal Services and Claims Officer informed.
- Implement a robust tracking system to ensure timely responses.
- Identify issues and escalate them to your Line Manager as necessary.
- Manage the electronic calendar for the Head of Legal Services and Claims Officer, coordinating appointments and prioritizing as needed.
- Develop and maintain effective electronic and paper filing systems to ensure secure and accessible information for the team.
- Organize and facilitate meetings with clinicians and external solicitors.
- Assist in the preparation of reports and training presentations.
- Proficiency in keyboard skills and familiarity with Microsoft Office programs is required.

Qualifications and Education
Essential Criteria
- A solid educational background, including Math and English GCSE.
- A recognized administration qualification or equivalent skills and experience.
Desirable Criteria
- RSA Level 2 or ECDL Qualification.
Knowledge and Experience
Essential Criteria
- Previous experience in a public-facing role.
- Understanding of confidentiality requirements within the workplace, particularly in the healthcare sector.
- Familiarity with the Equality Act (2010) and the Freedom of Information Act (2000).
- Knowledge of the Data Protection Act and General Data Protection Regulations.
Desirable Criteria
- Experience in a healthcare or legal services environment.
- Operational knowledge of hospital systems and experience using Datix.
