Job Summary

We are seeking a highly organized and detail-oriented Van Collections Coordinator to join our team at Evri. As a key member of our operations team, you will play a crucial role in ensuring the smooth operation of our Supplier Collections scheme.

Key Responsibilities

  • Collection Confirmation: Respond to external suppliers with stock collection confirmation details and attach relevant pallet/carton labels.
  • Delivery Scheduling: Ensure delivery appointments are made with clients either by the supplier or ourselves.
  • Direct Despatch Collection Requests: Input all direct despatch collection requests for customers/clients, responding to telephone or email requests and confirming collection details.
  • Liaison with Depot Supervisors: Liaise with depot supervisors and management regarding abnormal or special collections via Hermes.
  • Trailer and Carrier Management: Obtain costs prior to arranging collections for trailer/3rd party carriers.
  • Trailer Numbers and Hub Information: Ensure trailer numbers are obtained from depots daily for stock deliveries and pass information to the relevant hub.
  • Documentation and Reporting: Process documentation for the relevant hub, advising on collections and deliveries expected each night, and provide loading plans and appointment numbers for deliveries to clients.
  • Planning and Data Analysis: Produce data for the planning team at Rugby with depot volumes for expected DD traffic the following day.
  • Problem Resolution: Eradicate any problems that may occur with stock collected or delivered, working with depot/hub supervisors/managers to resolve issues and record non-conformance on the Atlas system for SLA and KPI reporting.
  • POD Receipt and Delivery Tracking: Ensure PODs are received back from transport for all deliveries made in client warehouses.
  • Client Deliveries and POD Receipt: Ensure client deliveries via depots (cross-docking) are done on the planned day and receive PODs back in the office.
  • Reporting and KPIs: Input figures and balance weekly/period-end reports as required by managers/team leaders and assist with producing daily KPI reports of failed supplier/depot collections for escalation to client managers.
  • Invoice Verification: Assist the stock collection team leader with checking invoices from 3rd party carriers against the Atlas system.
  • Collection Charging and Client Queries: Ensure all collections are charged daily as per collection report/PODs and take and deal with calls from clients/customers for queries with suppliers.
