Job Title: Team Administrator
Job Summary: We are seeking a highly organized and detail-oriented Team Administrator to provide administrative support to our team of Engineers, Consultants, and Directors. The successful candidate will be responsible for providing project and financial administration support, including onboarding new projects, updating forecasts, and raising applications for payment.
Key Responsibilities:
- Provide administrative support to the team, including project coordination, data management, and archiving.
- Onboard new projects, including liaison with clients to ensure correct documentation is received and projects are set up correctly.
- Update forecasts, billing schedules, WIP, and other balances in our ERP system.
- Raise applications for payment, invoices, and credit notes.
- Act as a liaison point between other teams within Hydrock, including Legal, Credit Control, Accounts, and dealing with queried debtors and resolving credit control issues.
- Assist in the production of Purchase Orders and liaise with suppliers and Sub-contractors/Affiliates.
- Contract administration, data management, and archiving in line with company policies and QA procedures.
- Support the Divisional Financial Controller with monthly management accounts, financial reporting, and analysis.
- Promptly respond to incoming calls, answer queries, and redirect calls to members of staff, ad-hoc reception cover.
Requirements:
- Ability to communicate effectively in oral and written forms to staff at all levels within the company and with external organizations, maintaining confidentiality of information.
- Accurate administrative skills and strong organizational skills.
- Ability to prioritize and meet deadlines.
- Fully competent in the use of Microsoft Office and other associated software (training given).
- A dynamic and positive approach to work and comfortable multi-tasking under pressure.
- Some working knowledge of reviewing legal documents would be advantageous.
- Administrative experience gained within either the construction or consultancy industry would be advantageous.
- Friendly, sensible, and well-mannered with a good sense of humor.
