As a key member of the Expeditors team, the Distribution Customer Service Representative plays a vital role in ensuring the smooth operation of our distribution center. This position requires a high level of organization, attention to detail, and excellent communication skills.
Key Responsibilities:- Order Processing: Daily process and input of all customer orders and distribution accounts, ensuring accuracy and timeliness.
- Reporting and Analysis: Provide daily operational reports that are accurate and timely, and run stock reports to check for product availability.
- Inventory Management: Generate all related paperwork and necessary information required for customer work orders, checks all orders for special requests and posts inventory records.
- Data Entry and Accuracy: Perform accurate and timely data entry for receiving, order allocation, shipping and inventory management.
- Transportation and Logistics: Rate domestic transportation bills, coordinate special, last minute shipping requests with the Transportation and Operations Departments, and expediting any order as necessary.
- Customer Service: Trace orders as required and notify customers of activity concerning their order, ensure accurate and timely client and vendors billing, and maintain damage records and backorder logs.
- Returned Merchandise: Handle returned merchandise in an efficient manner and ensures proper credit is given to the customer.
- Warehouse Operations: Input all receipts, putaways, moves, picks, shipments and cycle counts, and provide warehouse staff with necessary documents and information needed to complete receiving, and to ship orders.
- Communication and Relationships: Communicate effectively with customers as required, maintain excellent working relationships with customers by responding to all inquiries and complaints concerning work orders, invoices, shipments, inventory counts, etc. in a courteous and efficient manner, and report customer feedback to management, including any signs of customer dissatisfaction.
- Liaison and Support: Act as a liaison between the warehouse and the customer in administration of accounts and between the office and customer regarding invoicing and credit information, and contribute to maintain strong relationships with vendors (trucking companies, and others).
- Administrative Tasks: Provide support with other miscellaneous projects, filing and research, and oversee all paperwork associated with orders and maintain the corresponding files.
- Quality and Compliance: Maintain a current and accurate DLSOP that details the processing requirements for each account, and answer phone calls according to Expeditors standards.
- Inventory Receipt and Management: Receive inventory, and ensure accurate and timely data entry into our operating system.
- Experience: 2 years related experience and/or training; or equivalent combination of education and experience.
- Previous Experience: Previous experience in inventory control and/or distribution operations.
- Skills: Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results, pro-active, strong organizational skills, and displayed ability to work independently with minimal supervision.
- Computer Skills: Good computer skills (Excel, Word, PowerPoint).
