Position Overview

As an Administrative Operations Supervisor, you will play a crucial role in ensuring the effective delivery of services in accordance with established performance metrics. Your leadership will be vital in guiding the team to maintain operational efficiency and accuracy in reporting.

Key Responsibilities

Financial Management & Inventory Control

  • Gain a comprehensive understanding of the protocols related to inventory and medication management, ensuring compliance among team members.
  • Collaborate with the assigned Administrator and Physiotherapist to conduct weekly inventory assessments, optimizing stock levels.

Service Activity, Workload Management & Performance Metrics

  • Familiarize yourself with the performance metrics and service activity expectations, consistently working towards achieving these goals by supporting your team.
  • Oversee the organization and maintenance of clinic schedules, ensuring that service activity requirements are met in a timely manner.
  • Coordinate with the Clinical Lead to appropriately schedule training and supervision sessions.

Information Technology Systems & Data Integrity

  • Become an expert user of clinical information systems and assist in training and supporting fellow team members.
  • Understand the fundamentals of coding and reporting within the clinical system. Collaborate with the General Manager to ensure that templates and correspondence are accurate and up-to-date.

Human Resources Responsibilities

  • Monitor team interactions with patients and external organizations to ensure professional conduct.
  • Work alongside the General Manager to foster effective teamwork.
  • Contribute significantly to the recruitment, onboarding, training, and ongoing support of new team members.
  • Maintain the training records for the service, proactively addressing any training expiration issues with staff.
