About the Role

Vida Healthcare presents an excellent opportunity for a dedicated and dependable patient support specialist to become part of our skilled team on a part-time basis. This position involves covering shifts between 8am and 6:30pm, divided into morning and afternoon sessions. The specific hours can be discussed during the interview process.

You will be tasked with delivering exceptional service to patients across our facilities. Expect to receive mentorship and support from the organization while being empowered to provide care and assistance.

Upon completion of comprehensive training, you will be assigned a primary location; however, this role will require flexibility to work across multiple sites as needed.

Key Responsibilities:
  • Maintain a professional and efficient reception service for patients.
  • Provide both telephone and in-person assistance for patients to schedule, modify, and verify appointments, handling inquiries with a calm and empathetic demeanor while maintaining high accuracy under pressure.
  • Assist patients who may have concerns or complaints, offering practical solutions.
  • Support a complex appointment system in a busy office environment with frequent interruptions.
  • Handle all information with sensitivity and in accordance with confidentiality regulations.
  • Collaborate with colleagues on various tasks as required.
  • Complete basic prescription administration training to address queries in the absence of prescription team members.
  • Travel locally to cover reception teams, sometimes with little notice.
  • Participate in training new or temporary staff on office operating systems.
  • Adhere to all policies and procedures, reporting any concerns as necessary.
  • Take personal responsibility for health and safety and risk management matters.
  • Engage in customer service processes to ensure high-quality service standards.
  • Participate in training as directed by the Practice Coordinator for personal and professional growth.
  • Perform other relevant duties and projects as agreed with the Practice Coordinator.

As the practice is committed to continuous improvement, the responsibilities of this position may evolve over time. These duties will be subject to regular review, and any changes will be made in consultation with the individual in this role.

About the Candidate

Required:

  • Flexibility to work between 8am and 6:30pm, split into morning and afternoon sessions.
  • Education to GCSE level, with English as one of the passed subjects, or two years of relevant work experience.
  • Prior training and experience with computer systems.
  • Ability to collaborate effectively with others.
  • Strong organizational, time management, communication skills, and attention to detail.
  • Experience in a customer service setting.
  • Capability to handle highly confidential information.
  • Good communication skills, being well-spoken, approachable, and enthusiastic with the ability to multitask.

Preferred:

  • Previous experience with SystmOne.
  • Basic knowledge of email and Microsoft products.
  • Experience working within the NHS, particularly in General Practice.
