Vida Healthcare is seeking a dedicated Practice Administrator to enhance our dynamic practice support team on a full-time basis. This role is pivotal in leading the team to ensure that all reception and administrative functions are executed effectively, aligning with the goals of Vida Healthcare. Responsibilities include:
- Managing call queues to guarantee prompt responses across all locations.
- Supervising online consultation services.
- Coordinating and ensuring staff schedules are maintained, including arranging cover during absences.
- Authorizing reimbursement claims.
- Providing training for new reception team members and identifying further training needs.
- Directing patients to the most suitable services.
- Acting as the primary contact for issue escalation.
- Conducting return-to-work interviews when necessary.
- Motivating the team and fostering effective communication among all members.
- Being the first point of contact for patients wishing to lodge verbal complaints.
- Processing requests for Foodbank vouchers and translation services.
- Assisting with clinical schedules and making immediate adjustments due to staff absences.
- Overseeing room allocations.
- Supporting compliance with CQC standards.
- Addressing building and facilities inquiries.
- Participating in relevant meetings and taking minutes as needed.

About the CandidateThe ideal candidate will possess the following skills and experience:
Essential:- Experience in reception and/or administrative roles.
- Strong written and verbal communication skills in English.
- Proficient in IT, capable of creating MS Word documents and basic Excel spreadsheets.
- Experience in patient/customer interactions.
- Good keyboard proficiency.
- Excellent organizational, time management, communication skills, and attention to detail.
- Experience in team management.
- Familiarity with medical terminology.
- Prior experience with SystmOne.
- Basic knowledge of Microsoft products and email.
- Experience working within the NHS.
