We are seeking a highly motivated and organized individual to provide comprehensive administrative support to our team at Oxleas NHS Foundation Trust. As a Team Administrator, you will play a vital role in ensuring the smooth operation of our team, providing exceptional support to our staff and service users.
Key Responsibilities- Provide administrative support to the team, including word processing, data entry, and filing.
- Use electronic systems to record and retrieve information on service users and caseload holders.
- Implement and maintain effective filing systems, ensuring that service user records are kept safe, confidential, and up-to-date.
- Respond to incoming calls and deal with enquiries in accordance with management procedures.
- Implement and maintain effective communication systems with the team, locality, and external agencies.
- Distribute and disseminate post as necessary.
- Process data protection enquiries and liaise with service users and clinicians to ensure that all necessary information is provided in an efficient and timely manner.
- Undertake administrative duties, including photocopying, scanning, and answering the telephone.
- Assist the team with administration work around follow-up appointments for service users.
- Order stationery and equipment through the Trust's ordering system.
- Use the NHS email system and diary management.
- Organize team meetings and disseminate papers in advance of meetings.
- Minute taking.
- Provide assistance to the team in troubleshooting computer, printing, and telephony issues.
- Undertake data entry using spreadsheets and report on the data for audit purposes.
- Provide cover for other admin staff during periods of leave, sickness, or to alleviate workload of colleagues as necessary.
We are looking for an individual with:
- 2 years minimum administrative experience.
- Experience in a NHS setting or similar organization.
- Able to use MS Teams and all MS office programs confidently.
- Able to analyze and extract data from Excel.
- Excellent communication skills.
- Minute taking.
