Luxury Retail Operations Coordinator – Fine Jewellery

Established in London, Kiki McDonough is a distinguished fine jewellery brand, celebrated for its vibrant gemstone designs and exceptional craftsmanship. Our creations are not only timeless but also designed to resonate with modern lifestyles, making them cherished heirlooms.

As a key player in our operations team, the Luxury Retail Operations Coordinator will report directly to the Operations Manager. This role is essential in managing client services and overseeing the logistical aspects of stock management across various business sectors. This full-time position is based at our flagship location and is suitable for individuals with entry to mid-level experience in a similar operational capacity within the luxury or fashion industry.

Key Responsibilities:

  • Act as the primary liaison between the Retail team and suppliers concerning client orders, bespoke requests, repairs, and pricing inquiries.
  • Coordinate with suppliers and workshops to ensure efficient processing of repairs and client orders.
  • Manage the flow of goods entering and exiting the business.
  • Oversee Ecommerce shipments and order dispatches for wholesale accounts.
  • Assist various departments with stock requirements for events and press loans.
  • Support the Product Management Coordinator in maintaining accurate and timely assay management.
  • Organize dispatches and collections from workshops through courier services.
  • Utilize courier portals to track and document parcels in transit, addressing any issues as they arise.
  • Prepare necessary customs documentation for shipments.
  • Monitor and order packaging materials for clients and wholesale channels.
  • Ensure adequate packaging supplies are maintained across all departments.
  • Conduct regular stock counts to ensure accuracy and availability of inventory.
  • Facilitate the seamless movement of stock within the business, including transfer and approval management.
  • Receive and log incoming parcels, ensuring proper distribution to relevant departments.
  • Collaborate with the Project Management Coordinator to onboard replenishment and wholesale stock.
  • Assist with quality control and onboarding processes.
  • Work alongside the retail team to maintain organizational standards for overstock.
  • Conduct stock assessments and maintain inventory levels for all products.
