The primary objective of this role is to deliver executive administrative and operational support. This position serves as the main point of contact for the office, responsible for greeting visitors and ensuring that meeting spaces are adequately prepared for discussions and training sessions.

Key Responsibilities

Provide executive administrative support to designated directors. Organize meetings, events, travel arrangements, accommodations, and other logistical needs. Attend meetings, take minutes, and follow up on action items as required. Manage complex calendars proactively, coordinating meetings, travel, and communications. Prepare, edit, and distribute reports, presentations, and documentation in accordance with company branding. Communicate corporate information effectively to various stakeholders. Assist with the onboarding process for new employees and support induction programs. Compile and verify credit card returns and expense claims as needed. Handle general inquiries and requests through central communication channels, ensuring tasks are completed efficiently. Coordinate corporate initiatives and maintain relevant electronic records. Welcome visitors in a professional and courteous manner. Reserve meeting rooms and ensure all necessary arrangements, including catering, are in place. Maintain cleanliness and organization of meeting spaces and common areas. Ensure the office is stocked with essential supplies, including stationery and other necessary items.

Required Skills

Proven experience in supporting directors in a secretarial or administrative capacity. Strong background in administrative functions. Excellent written and verbal communication skills, with a focus on positive interactions. Collaborative and solution-oriented mindset, with a strong emphasis on customer service. Exceptional organizational and time management abilities, particularly in a fast-paced environment with competing priorities. Ability to manage complex scheduling while considering various commitments and urgency. Demonstrated capability to handle sensitive information with discretion and confidentiality. Proficient in taking accurate and concise meeting minutes. Strong word processing skills (60+ wpm). High proficiency in technology, including Microsoft Office and various hardware. Solid numerical and literacy skills. Experience in a front-of-house role is advantageous. A qualification in Secretarial or Business Administration is preferred. Previous experience in veterinary healthcare or service-oriented environments is a plus.
