Position Overview

An exciting opportunity has emerged for a dedicated and adaptable individual to become part of the surgical secretariat team as a Urology Administrative Coordinator.

This is a full-time role, requiring commitment during standard working hours from Monday to Friday.

The successful candidate will deliver comprehensive administrative support to a Consultant within the established team, while also assisting current medical secretaries to ensure a high-quality and efficient service for our surgeons and patients. You will serve as the primary contact for patients and clinical personnel, addressing all inquiries with professionalism, sensitivity, and courtesy.

Key Responsibilities

The responsibilities associated with this position encompass a broad spectrum of administrative and secretarial tasks, including:

  • Audio transcription of clinical documents from digital dictation.
  • Preparation for clinics and scheduling appointments.
  • Management of waiting lists and maintenance of accurate patient records.
  • Diary management and handling a variety of telephone inquiries.

A flexible approach to workload is essential, as you will be responsible for compiling and managing waiting lists for your Consultant in alignment with the Patient Access Policy and relevant targets. You will also be tasked with establishing and maintaining an effective patient tracking system, with comprehensive training provided on waiting list management.

Applicants should possess strong communication skills, enabling effective interaction with staff at all levels. The ideal candidate will demonstrate excellent customer service abilities, as daily interactions with patients and their families will require a compassionate approach.

Essential Skills and Experience

Successful candidates will exhibit:

  • Strong organizational and time management capabilities, with the ability to manage multiple tasks and work effectively under pressure.
  • A minimum of one year’s experience in an administrative or secretarial role, preferably within a patient-focused environment.
  • Proficiency in Microsoft Office Suite (Word, Excel).
  • Experience in audio typing is advantageous.
  • Knowledge of cancer pathways and associated targets is desirable.
