Italian Speaking Executive Assistant to CFO - International Organization

We are seeking a proactive, bilingual Executive Assistant to support the CFO of a prominent international organization.

Key Responsibilities:

  • Delivering comprehensive executive assistance to the CFO, encompassing administrative, logistical, and technical support.
  • Overseeing all operational and administrative functions of the CFO's daily activities, enabling him to concentrate on his core responsibilities; must be adept at identifying and addressing administrative challenges swiftly.

Primary Duties:

  • Facilitating the CFO's daily administrative tasks and managing a diverse range of administrative responsibilities.
  • Coordinating an active schedule of appointments, organizing meetings, video conferences, and ensuring alignment of availability with relevant stakeholders.
  • Possessing a solid understanding of corporate business processes to effectively assist in task prioritization and demonstrate independent judgment.
  • Exhibiting strong negotiation capabilities when engaging with counterparts.
  • Conducting research and following up on incoming inquiries and issues directed to the CFO, including sensitive or confidential matters.
  • Arranging international travel, including itineraries, transportation, and accommodation, along with necessary reservations and expense reimbursements.
  • Serving as the primary contact for administrative matters related to the CFO.
  • Providing assistance with personal tasks such as travel arrangements and property management.

Qualifications:

  • Bilingual in Italian and English (both written and spoken) with exceptional communication skills.
  • A minimum of 5 years of experience supporting senior executives in a medium to large corporate environment is essential.
  • Ability to be flexible and adaptable, with a willingness to work overtime as needed.
  • Experience in organizing and coordinating international meetings.
  • Proficient in Microsoft Office applications, including Outlook and the Internet.
  • Experience in a technology-driven or online corporate environment is a significant advantage.
  • Strong organizational skills with the ability to manage and prioritize multiple tasks effectively, demonstrating meticulous attention to detail.
  • A discreet and confidential approach to work is required.
