The London HR Generalist team is composed of the Head of HR, HR Manager, and HR Assistant, who offer guidance and support to a diverse group of staff and Partners. Our collaboration extends to our HR colleagues in our New York headquarters. Within the broader London HR Group, we also have roles dedicated to Learning & Development, Recruitment, Diversity, Equity & Inclusion, and Talent Development. This position provides essential administrative support to the London HR Team and often serves as the initial point of contact for various HR administrative inquiries.
Key Responsibilities:
Deliver proactive administrative assistance to the team, including but not limited to:
- Generalist HR Functions: Maintain precise data on the HRIS (Workday), including updates on joiners, leavers, office transfers, and employee personal details.
- HR Correspondence: Prepare HR-related documents, utilizing DocuSign for processes such as probation completion letters and reference requests.
- Payroll Coordination: Collaborate with the Payroll team to communicate any administrative changes monthly.
- Visa Assistance: Support visa applications for new employees and renewals as directed by the Immigration Advisor.
- Leaver Process Management: Oversee the leaver process, confirming remaining holiday and distributing leaver documentation.
- Intranet Maintenance: Keep HR pages on the intranet up to date.
- Appraisal Support: Assist with appraisal processes, managing related documentation.
- Annual Review Processes: Aid in preparing documents and updating the HR system for salary and bonus reviews.
- Holiday Management: Act as the contact for holiday inquiries and manage year-end holiday processes.
- Sickness Absence Monitoring: Track and log sickness absence, ensuring necessary documentation is completed.
- Administrative Tasks: Handle e-filing, order staff gifts, and support the development of the HR Apprentice.
Lateral Recruitment & Onboarding:
- Coordinate with recruitment agents and manage interview schedules.
- Oversee technical tests and maintain results documentation.
- Manage the onboarding process, including adding new hires to Workday and conducting pre-employment checks.
- Facilitate inductions and liaise with IT for new joiner equipment.
Skills & Experience Required:
- At least 18 months of relevant experience, preferably in the legal or professional services sector.
- Strong interpersonal and communication skills, both written and verbal.
- Exceptional attention to detail and organizational abilities.
- Proficient analytical and numerical skills.
- Advanced IT skills, particularly in Word and Excel, with experience in HR databases.
- Innovative mindset, eager to identify and implement improvements.
- Team-oriented, dedicated to providing excellent client service.
