Job Summary
Hays Specialist Recruitment Limited is seeking an experienced Executive Secretary to lead the secretarial functions across Scotland. This role can be based out of either the Edinburgh or Glasgow offices, with travel required across the country.
Key Responsibilities
- Support 27 Personal Assistants across 3 offices, implementing best practices and ensuring everything is in order to maximize client service.
- Act as the key point of contact between Executive teams, the PAs and Head of Secretarial Services for the UK, liaising with management to comment on continuous improvements and issue resolution.
- Host one-to-one meetings and performance reviews with PAs, ensuring they have appropriate resources to complete their tasks effectively.
- Implement training plans and outline development opportunities for PAs, ensuring the correct support is available and training is completed on time.
- Provide PA support to up to 3 partners within the business, delivering high-quality support to the fee earners, ensuring their team and daily plans are well managed to achieve optimal business outcomes.
Requirements
- Demonstrated PA and supervisory experience.
- Experience within the Legal sector or Professional Services is beneficial.
- A focussed and organized approach to stakeholder management.
- The ability to enable effective team work.
- Time management and the ability to handle a varied, fast-paced workload.
- Communication skills; both verbal and written.
