Job Summary
We are seeking a highly organized and communicative individual to join our team as a Receptionist in the Ophthalmology Department. The successful candidate will be responsible for providing exceptional patient care and administrative support in a fast-paced environment.
Main Responsibilities
- Greet patients in a helpful and polite manner, ensuring a positive first impression of our department.
- Check patients in and out of their appointments, accurately recording demographics and updating records as necessary.
- Register patients' attendance on our electronic patient record system in real-time.
- Handle patient inquiries with empathy and professionalism, using tact and diplomacy when dealing with anxious patients and relatives.
- Book follow-up appointments accurately, ensuring correct referral to treatment (RTT) status is recorded in accordance with Trust guidelines.
- Coordinate special requests for additional support in clinics, such as interpreters or sign language services.
- Maintain accurate and up-to-date reception clinic lists, recording late bookings, cancellations, and DNAs as required.
- Ensure patients are checked in and out of clinic, and future appointments are made on the day of attendance wherever possible.
- Capture outpatient procedure activity from outcome forms using the HIM chart coding function in EPR.
- Prepare patients' notes for the day before clinics, highlighting any missing notes to relevant line managers.
- Arrange return transport for patients attending appointments as requested by senior nurses or Arriva and Oxford Ambulance.
- Maintain a tidy and well-organized reception area, reporting any defects to relevant line managers.

Education & Professional Qualifications
- Good basic educational qualifications (5 or more GCSE's including English and Maths Grade C or above) or equivalent qualifications.
