Position Overview

This role is exclusively open to individuals currently working within NHS Wales.

The Quality, Safety & Improvement directorate is seeking an Executive Assistant to provide exceptional administrative and organizational support to the Leadership Team.

Key Responsibilities

The successful candidate will undertake a variety of administrative tasks, including but not limited to:

  • Efficient management of high-level calendars and scheduling.
  • Organizing meetings and preparing necessary documentation.
  • Drafting correspondence and processing orders as needed.
  • Coordinating meetings, including the collection and distribution of materials, minute-taking, and tracking action items.

The ideal candidate will demonstrate strong organizational skills, the ability to work independently as well as collaboratively, and possess a professional demeanor. Excellent communication and interpersonal skills are essential, along with a commitment to confidentiality and adherence to data protection policies. Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams, is required.

Qualifications and Experience

  • NVQ Level 3 or equivalent experience, with a strong command of numeracy and proficiency in written and spoken English.

  • Proven experience in a similar administrative role.
  • Experience handling confidential information and maintaining records securely.
  • Competence in minute-taking and documentation.
  • Ability to work independently with minimal supervision.

Skills and Knowledge
