Position Overview

The East Primary Care Team is seeking a dedicated and detail-oriented Administrative Support Specialist to join our Health Board managed GP Practice.

While prior experience in a GP Practice is advantageous, familiarity with the EMIS clinical system is preferred but not mandatory, as comprehensive training will be provided. The dynamic nature of a GP practice means that this role will present various challenges on a daily basis.

Key Responsibilities

The successful candidate will be responsible for scheduling appointments and addressing patient inquiries, necessitating exceptional communication skills and a professional telephone demeanor.

Strong IT capabilities, particularly with Microsoft Office applications, are essential, as the role includes a range of administrative tasks to ensure the efficient operation of the practice, including data entry duties.

The ideal applicant will possess experience in a healthcare environment or a customer service role, although full training will be available for the right individual.

Additionally, the candidate may be required to provide support at other Health Board managed GP practices in the area on an as-needed basis to fulfill service requirements and cover staff absences. This aspect will be discussed during the interview process.

Language Requirement

It is expected that the successful candidate will learn Welsh after being appointed to the position.

Qualifications

Essential

  • Good standard of education
  • NVQ Level 2 in Administration or equivalent qualification/experience

Desirable

  • ECDL
  • IT qualification or word processing (RSA 2 or equivalent experience)

Experience / Skills / Knowledge

Essential

  • Experience with Microsoft Office packages
  • Experience in a busy reception or office setting
  • Experience in customer interaction both over the phone and in person
  • Able to thrive in a fast-paced, ever-evolving environment
  • Capable of accurately inputting information into a computer system
  • Able to manage multiple tasks simultaneously
  • Effective communication skills with all levels of staff, both verbally and in writing
  • Ability to resolve issues independently
  • Understanding of confidentiality requirements
  • Knowledge of various administrative processes

Desirable

  • Experience with IT systems (EMIS, Oracle, WPAS)
  • Experience in a GP surgery or NHS office environment
  • Shorthand skills
  • Familiarity with medical terminology
