Position Overview

The Administrative Coordinator serves as the initial point of contact for our organization and plays a crucial role in ensuring the smooth operation of the office through a variety of administrative, financial, and support functions. In this role, you will be tasked with delivering administrative assistance to facilitate the effective functioning of the office. Your responsibilities will range from greeting visitors to managing office supplies and handling phone inquiries, requiring you to complete diverse tasks in a professional and timely manner.

Primary Responsibilities

  • Manage incoming calls and direct them with a friendly demeanor.
  • Provide a welcoming experience for office visitors.
  • Assist with office requests related to conference calls, meeting rooms, travel arrangements, and more.
  • Handle invoice processing.
  • Oversee the organization of office lunch orders.
  • Coordinate office maintenance, cleaning, and repair services.
  • Manage inventory of office and kitchen supplies, ensuring orders are placed with vendors while adhering to budget constraints.
  • Conduct weekly inspections to assess supply levels in both kitchen and office areas.
  • Organize events, including preparing meeting spaces and arranging catering services.
  • Oversee IT materials within the office.

Essential Qualifications

  • Strong written and verbal communication skills in English; proficiency in Mandarin is advantageous.
  • Proficient in Microsoft Office applications (Outlook, Excel, Word, PowerPoint, etc.).
  • Possess a valid UK driving license.
  • Capable of identifying potential issues and devising innovative solutions independently.
  • Ability to manage multiple tasks, organize effectively, and prioritize responsibilities.
  • Applicants must be located in or near the relevant area and possess the right to work in the UK; this position requires on-site presence with no option for remote work.
  • Visa sponsorship is not available; candidates should already be eligible to work in the UK.
