Position Overview

We are seeking a dedicated and proactive individual to join our organization as an Office Coordinator within the Community Mental Health Team.

The ideal candidate will demonstrate a strong commitment to teamwork and innovative approaches to delivering exceptional service. This role involves working in a dynamic office setting alongside a diverse team of Community Mental Health Professionals, including Nurses, Occupational Therapists, Social Workers, and Support Staff.

Key Responsibilities

The successful candidate will be responsible for delivering a comprehensive administrative service, which includes:

  • Managing incoming phone calls and appointment scheduling
  • Addressing inbox inquiries
  • Typing correspondence, reports, agendas, and meeting minutes

The applicant must be capable of organizing and prioritizing their workload effectively to meet deadlines and accommodate urgent tasks.

This role is diverse and can be demanding, requiring support for the clinical team. The candidate will also provide coverage for colleagues as needed, including front desk support.

Essential Qualifications and Skills

Required

  • Proficiency in Microsoft Office applications
  • Understanding of confidentiality principles
  • Strong organizational skills with the ability to prioritize tasks and work independently
  • Excellent written and verbal communication abilities

Preferred

  • Experience in audio typing
  • Familiarity with minute/note-taking

Educational Background

Required

  • Demonstrated typing skills (RSA 111/NVQ Level III in an administrative subject or equivalent)
  • Adequate proficiency in English to fulfill job responsibilities

  • ECDL certification

  • Proven experience in providing administrative support
