Position Overview

The Marine Crew Operations Coordinator will play a pivotal role in the broader Personnel Operations Team, leveraging expertise in personnel management to ensure effective long-term crew planning and scheduling. This position is essential for maintaining high levels of crew engagement, focusing on the deployment of qualified, experienced, and competent maritime professionals. The Coordinator will ensure adherence to both company and client standards for all vessels under technical management.

Key Responsibilities

  • Oversee crew scheduling for the technically managed fleet, ensuring adequate personnel to meet operational and client needs.
  • Collaborate effectively with the crew management team, operations department, and recruitment to strategize seafarer rotations and uphold manning levels within budgetary constraints.
  • Ensure vessels are staffed with the right mix of experience and compliance with OCIMF/Owner matrix requirements.
  • Monitor compliance with training matrices and internal procedures for all seafarers, identifying and assessing training needs.
  • Maintain accurate and current staff rotations in the scheduling system, generating regular reports to evaluate compliance against established internal and external deliverables.
  • Address seafarer inquiries, coordinating responses in accordance with company protocols and managing communications with relatives as necessary.
  • Facilitate the scheduling of candidates through the crew mobilization process, assisting joining crew in obtaining necessary documentation and coordinating future assignments for returning crew.
  • Lead communication efforts with external partners, including manning agencies, to ensure smooth onboarding and offboarding of crew members.
  • Proactively resolve scheduling conflicts for both anticipated and unexpected events, conducting follow-up analyses to implement corrective measures.
  • Assist the Marine Personnel Lead and Head of Marine Personnel Operations with onboarding and offboarding processes.
  • Support the Marine Personnel Lead in managing disciplinary matters related to crew as required.
  • Act as a deputy for the Marine Personnel Lead when necessary.
  • Coordinate global travel arrangements for shipboard teams in collaboration with travel agencies, ensuring cost-effectiveness in line with budgetary guidelines.
  • Possess a strong understanding of the Standards for Training, Certification, and Watchkeeping Convention (STCW), including certification requirements by rank, and assist the Marine Personnel Lead with updates and dissemination of relevant information.
  • Participate in meetings and reporting activities as required to support client deliverables.
  • Engage in additional tasks and project work as deemed necessary by the company.

Candidate Requirements

  • Degree qualified or possess equivalent experience.
  • Demonstrated understanding of ISM, STCW, MLC, and TMSA regulations.
  • Proven competency in a scheduling role within the marine industry or a related field.
  • Experience with complex crewing systems (such as COMPAS) and the ability to manage scheduling requirements effectively.
  • Ability to conduct scenario analysis and assess scheduling risks.
  • Capable of producing clear and concise reports to aid senior management decision-making.
  • Exceptional communication, presentation, and stakeholder management skills are essential for fostering strong working relationships.
  • Commitment to continuous improvement, with a focus on enhancing scheduling quality and compliance with KPIs and SLAs.
