Job Overview

We are seeking an experienced Medical Secretary to join our team at the Sussex Eye Hospital, Brighton. As a key member of the Ophthalmology department, you will provide a comprehensive and efficient secretarial and administrative service to clinicians and other members of the clinical teams.

Main Duties
  • Manage a full clerical, administrative, and secretarial service to Consultants and members of the clinic teams, prioritizing workloads and ensuring timely completion of tasks.
  • Deal with telephone calls from parents, carers, guardians, medical staff, allied healthcare professionals, and departments within the Sussex Eye Hospital and UH Sussex NHS Trust, using tact, diplomacy, and discretion to exchange verbal and written information.
  • Assess the nature and urgency of telephone calls, taking detailed messages and ensuring that information is passed to relevant personnel and dealt with at the earliest opportunity.
  • Maintain office filing systems and storage of information to meet the needs of the service, including uploading documents to Panda.
  • Use the UH Sussex Trust Patient Administration System (Careflow) for the retrieval and tracking of patient information and medical records.
  • Provide a complete secretarial service, transcribing author dictation using a digital dictation voice recognition system, and undertaking filing, sending, and receiving emails and composition of letters as required.
  • Be efficient in the use of email, word, and excel, and use the Trust and departmental database for which training will be given.
  • Comply explicitly with Trust policies and procedures.
  • Assist other team members in times of absence.
Person Specification

Essential Criteria

  • Good communicator and adaptable skills.
  • Experience of working in a pressurized environment and meeting deadlines.
  • Good experience of secretarial duties.
  • English and Maths.
  • Audiotyping and IT literate - word, excel, email.
  • Medical terminology.

Desirable Criteria

  • Minimum of 1 year's experience of secretarial duties.
  • NHS experience.
