Continuing Healthcare Administrator

The successful candidate will assist the CHC leadership team in fulfilling their obligation to assure all stakeholders that the Continuing Healthcare service is providing a high-quality, effective, and value-driven service.
This role requires delivering a proficient level of administrative support within the Continuing Healthcare Team, fostering excellent customer service and collaborative working relationships.
The individual will be tasked with entering and maintaining data within various data management systems, alongside managing relevant correspondence. A flexible and adaptable approach is essential to meet diverse deadlines and targets.
Key Responsibilities:
- Serve as a primary contact for the department, addressing routine and specialized inquiries in a courteous manner and communicating pertinent information to stakeholders.
- Input and maintain data within data systems, ensuring accuracy and efficiency.
- Monitor data entry and generate reports from computerized systems as needed.
- Coordinate assessments and reviews for Nurse Assessors, including communication with individuals, family members, and other relevant professionals.
- Prepare and compile necessary documentation to support service delivery.
- Assist in the administrative processes related to the establishment of care packages.
- Support administrative functions concerning Liberty Protection Safeguards.
- Organize departmental meetings, take minutes, manage calendars, and plan administrative tasks as required.
- Address invoice inquiries promptly and efficiently.
- Adhere to service guidelines and established policies, ensuring quality standards and performance metrics are met.
- Manage incoming and outgoing communications, ensuring compliance with information governance standards.
- Maintain general office supplies and escalate any shortages to the line manager.
- Promote the department's image by ensuring that notices and informational materials are current and well-presented.
- Resolve complaints when possible and escalate issues as necessary, ensuring compliance with policy.
- Perform word processing and document management tasks as required.
- Provide training on office systems and departmental processes to new team members.
- Engage in research and development activities as directed.
- Work independently within defined policies and procedures to meet deadlines.
- Demonstrate a commitment to continuous improvement by learning from peers and colleagues.
- Exhibit adaptability and resilience in the face of change.
- Ensure compliance with all statutory and mandatory training requirements.
- Perform any other duties as reasonably requested by the line manager.
Skills & Knowledge:
- Proven experience in a busy administrative environment.
- Experience in customer service or working with service users.
- Familiarity with computerized data systems.
- Understanding of equality and diversity principles.
- Knowledge of confidentiality and data protection regulations.
- High proficiency in keyboard skills and Microsoft Office applications.
- Ability to work effectively within a team.
- Strong numeracy skills.
- Effective organizational, influencing, and problem-solving abilities.
- Capability to prioritize and manage workload independently.
- Clear communication skills, both written and verbal.
- Flexible approach to work responsibilities.
- Strong observational skills are essential.
