Position Overview:
Connect2Luton is pleased to announce an opportunity for an Administrative Support Specialist on behalf of Luton Borough Council.

Key Responsibilities:
The successful candidate will deliver comprehensive administrative assistance and information to the Strategy, Engagement & Implementation team.

Responsibilities include managing the team’s inbox to prioritize tasks effectively, enhancing the quality of data recorded in social care systems.

The role also involves ensuring the smooth operation of various projects.

Key duties include handling administrative tasks related to external suppliers and contributing to performance management concerning established key performance indicators.


As an Administrative Support Specialist, you will be expected to:

1. Execute and oversee intricate administrative functions in a fast-paced, deadline-oriented environment.
2. Manage specific project support activities with minimal oversight as required by management.
3. Oversee the team email inbox to ensure timely actions and accurate documentation.
4. Ensure data accuracy and clarity in all records.
5. Create, develop, and maintain records, files, and statistical data for evidence-based reporting.
6. Navigate conflicting priorities from management while maintaining professionalism in public scrutiny and collaboration with local stakeholders.
7. Act as a liaison between the council and externally commissioned resources to facilitate timely actions and strategic planning.
8. Organize logistics and administration for all designated project meetings, including minute-taking and ensuring effective communication across all meetings.
9. Compile and maintain management information to meet divisional requirements, producing periodic reports within specified timelines for performance review.
10. Develop, implement, and monitor administrative systems and procedures to support the operational needs of the division, ensuring the team is informed of public information, national and local policies, and strategies.
11. As a designated responsible officer, process invoices and manage the distribution and return of equipment while maintaining accurate records.
12. Foster collaborative relationships with teams and staff from other divisions to ensure consistency.
13. Contribute to a safe and effective working environment, ensuring compliance with legal and regulatory standards, including health and safety, property, equipment, and IT facilities.
14. Ensure that relevant corporate and departmental procedures are current and accessible.

Qualifications and Skills:

- Proven administrative experience, including the development and management of complex administrative systems.
- Experience in organizing and leading project initiatives.
- Background in local authority or social care settings is advantageous.
- Strong communication skills with the ability to build effective relationships with staff and stakeholders.
- Proficient in writing clear correspondence and reports.
- Competent IT skills and ability to work independently.
- Capable of performing basic calculations and analyzing data.
- Excellent organizational and administrative skills.
- Commitment to providing high-quality service to customers.
- Understanding of national policies related to health and social care.
- Education to Level 2 in Business Management or equivalent experience.
- Willingness to attend meetings and perform duties at various locations as required.
