A firm focused on Building Management Systems (BMS) engineering is looking for a skilled Operations Administrator to support their team.
Key Responsibilities:
- Receive and input contract details from Sales and Operations as necessary
- Address customer inquiries via phone
- Assist in the preparation of weekly and monthly reports
- Utilize client service management systems
- Process expense claims and timesheets, ensuring correct allocation to job P&L
- Conduct debt recovery to aid in managing aged debts
- Generate invoices for completed work
- Review reports for technical accuracy and send any quotations with the report
- Order necessary equipment and office supplies
- Organize and file documentation
- Sign for incoming deliveries
- Track parts required for jobs
- Input work orders into the Engineers' schedule
Required Skills:
- Adaptable mindset as you will handle a variety of tasks within the department
- Ability to thrive under pressure and manage time efficiently
- Proficient with numbers, financial data, and spreadsheets
- Familiarity with Microsoft Excel, Outlook, and Word
