Role Overview:
The Healthcare Administrative Coordinator will deliver exceptional, confidential administrative support to the Service Director and a team of medical professionals. This role is pivotal in ensuring that clinical documentation is efficiently managed and completed within established timelines.
The successful candidate will possess a thorough understanding of the operational aspects of the service, utilizing their expertise and initiative to enhance the overall efficiency of the department.
Key Responsibilities:
- Effectively manage incoming calls and voicemail systems, addressing patient inquiries with professionalism and empathy, as well as assisting healthcare professionals seeking information for patient care.
- Maintain and organize schedules for the Service Director and medical staff, coordinating with relevant parties regarding planned absences and appointments.
- Assist the Service Director by organizing and participating in meetings, serving as the note/minute taker, and preparing and distributing agendas and minutes for various meetings.
- Oversee the clinical correspondence workload, ensuring that urgent and oncology-related communications are handled promptly and accurately.
- Keep all files, records, and directories updated and organized for the Service Director and medical team, ensuring accuracy for reference purposes.
- Draft non-clinical correspondence and documents as required by the Service Director.
- Review incoming consultant communications, understanding their content, and taking appropriate actions, especially in the consultant's absence.
- Ensure compliance with Trust policies regarding referral management.
Required Qualifications:
- A minimum of 2 years of experience in a healthcare setting.
- Typing speed of 40 words per minute or higher.
- Proficient in minute-taking.
Preferred Qualifications:
- Experience with audio typing.
- AMSPAR qualification.
- Ability to perform under tight deadlines.
