About the Role

The client is a leading partner within the engineering and construction business, currently experiencing growth and requiring an additional executive assistant to support the executive leadership team.

Key Responsibilities

  • Diary and Calendar Management: Coordinate and manage the daily schedules of senior executives, including arranging meetings, appointments, and travel arrangements.
  • Communication and Correspondence: Handle incoming and outgoing communications on behalf of the executive team, including emails, phone calls, and written correspondence.
  • Meeting Preparation and Follow-up: Organise and prepare materials for meetings, take minutes, and follow up on action items to ensure timely completion.
  • Project Coordination: Assist in coordinating special projects and initiatives, collaborating with internal teams and external stakeholders to achieve project goals.
  • Document Management: Draft, proofread, and manage documents, presentations, and reports for internal and external use.
  • Event Planning: Plan and coordinate internal and external events, such as conferences, team-building activities, and client meetings.
  • Confidentiality and Discretion: Maintain the highest level of confidentiality when handling sensitive information and matters.
  • Travel Management: Arrange complex travel itineraries and accommodation for executives and prepare detailed travel itineraries.
  • Expense Management: Process expense reports and manage executive budgets, ensuring timely and accurate submissions.
  • Stakeholder Management: Act as a point of contact between executives, internal teams, and external partners, ensuring effective communication and relationship management.
  • Office Management: Assist in managing office supplies, equipment, and other administrative needs as required.
  • Data Management: Deal with statistics and update records.

Requirements

You must have worked as an executive assistant previously and ideally within an engineering, manufacturing, or technical environment. Strong communication and organisational skills are crucial in this role. You must be able to work with a high level of discretion and confidentiality. The candidate should be forward thinking, proactive, and have the ability to work on their own initiative.

What We Offer

Competitive salary of £38,000 - £40,000 DOE. Free parking on site in the office. Working hours: 8.30-5 Monday to Friday. 26 days annual leave. Salary sacrifice electric vehicle scheme after 6 months service. Discretionary non-contractual annual bonus.
