Job Summary

We are seeking an experienced Administrative Support Specialist to join our operations team. The successful candidate will provide administrative support to our team of financial planners and review team, ensuring the smooth operation of our business.

Key Responsibilities

  • Process new business applications for all products in an accurate and timely manner.
  • Check and respond to client inquiries.
  • Prepare paperwork for client meetings, including compliance documentation.
  • Prepare suitability reports for life, pension, and investment options.
  • Liaise with investment companies and providers to obtain necessary information and documentation.
  • Maintain client data in our system, scanning documents as required.
  • Perform ad hoc administrative tasks as required.
  • Support senior management and financial planners as needed.
  • Print and issue annual reviews.
  • Participate in quarter-end processing functions, including data audits and reporting.
  • Reconcile bank accounts and accounting system.
  • Produce management reports and KPI reports.
  • Add leads to our system and pass on to management.
  • Provide a professional and compliant service to our clients.

Requirements

  • Experience providing excellent customer service.
  • Administration and/or cash reconciliation experience preferred.
  • Awareness of life, pension, and investment products desirable.
  • Working towards or willing to work towards a level 4 Certificate in Financial Advice.
  • Proficient in Microsoft Packages (Word, Excel, Outlook).
  • Excellent attention to detail and self-organization skills.
  • Experience working collaboratively as part of a team.
