Job Title: Executive Assistant

Location: Remote Opportunity

Salary: £30 - £40k per annum

Key Responsibilities:

  • Diary/Calendar Management: Provide exceptional support to the director by efficiently managing their diary and calendar, ensuring seamless meeting arrangements and timely follow-ups.
  • Travel Arrangements and Expenses: Book, organize, and process travel arrangements and expenses with precision, ensuring compliance with company policies.
  • Relationship Management: Establish and maintain strong relationships with external and internal stakeholders, serving as the primary point of contact for retailers, agents, advisors, lawyers, and other key parties.
  • Administrative Support: Undertake day-to-day HR administrative tasks within the department, ensuring accuracy and attention to detail.
  • Recruitment and Onboarding: Support the recruitment process by collating paperwork and documents, ensuring a smooth onboarding experience for new team members.
  • Reporting and Updates: Attend team meetings and provide updates on current projects, ensuring stakeholders are informed and aligned.
  • Meeting Coordination: Organize and attend board meetings, committee meetings, and ad-hoc meetings, ensuring seamless logistics and effective communication.
  • Administrative Coverage: Provide ad-hoc administrative support to other teams during busy periods and holidays, ensuring continuity and minimal disruption.

Your Experience:

  • Director Support: Previous experience supporting directors or heads of department within a real estate or corporate setting.
  • Technical Skills: Highly efficient in using Microsoft Office, including Word, PowerPoint, and Excel.
  • Calendar Management: Highly efficient in calendar and diary management, ensuring optimal scheduling and minimal conflicts.
  • Travel and Expenses: Previous experience booking travel and processing expenses, with a focus on accuracy and compliance.
  • Communication and Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to build strong relationships with stakeholders.
  • Problem-Solving: Ability to take ownership of problems and see them through to solution, ensuring effective resolution and minimal disruption.
