Job Title: Facilities Administrator

We are seeking a highly organized and detail-oriented Facilities Administrator to join our team at Catch 22. As a key member of our facilities management team, you will be responsible for providing administrative support to our maintenance team and other stakeholders.

Key Responsibilities:
  • Manage and maintain accurate records of PPM reports and engineer reports.
  • Perform general administrative tasks, including filing, ordering materials, and utilizing our CAFM system.
  • Develop and maintain strong relationships with customers, both internally and externally.
  • Coordinate the allocation and scheduling of PPMs and reactive work orders.
  • Collaborate with the Contract Manager to review and approve supplier invoices and purchase orders.
  • Assist in the creation and compilation of client reports.
  • Communicate effectively with the Client Helpdesk regarding related works, including managing phone lines and radio systems.
Requirements:
  • Excellent customer service skills and ability to multitask.
  • Knowledge of FM and PFI contracts.
  • Understanding of the differences between PPM, reactive, and quoted works.
  • Proficient IT skills, including experience with CAFM systems.
  • Familiarity with Health and Safety requirements in healthcare environments (desirable).
  • Positive attitude and ability to work effectively in a fast-paced environment.
