Pertemps Northampton is seeking a highly organized and detail-oriented Office Administrator to join their team in Milton Keynes.

The ideal candidate will provide administrative support to the Sales, Marketing, Finance, and other departments, ensuring seamless day-to-day operations.

Key Responsibilities:

Sales Support:

  • Assist the Sales team in preparing proposal and tender documentation, as well as corresponding with clients.
  • Monitor and action emails related to sales opportunities, logging all incoming emails for reference.
  • Maintain accurate records of proposals and projects, including spreadsheets and supplier registers.
  • Generate and file sales-related agreements, such as NDAs and contracts.
  • Update staff CVs annually or as required.
  • Take meeting notes and distribute them to relevant team members.
  • Proofread sales materials to ensure accuracy and quality.

Marketing Support:

  • Liaise with the graphic designer to ensure marketing materials meet company standards.
  • Post updates to the company's LinkedIn page.
  • Update the website with fresh content and maintain a Sales & Marketing Output log.
  • Prepare marketing materials, such as board presentations, and ensure all associated images are up-to-date.
  • Register the company for trade exhibitions and conferences, and coordinate logistics.
  • Proofread articles for the website and social media channels.

Travel Arrangements:

  • Book flights, hotels, car hire, and taxis as required.
  • Manage visa and passport administration for employees and contractors.
  • Maintain a Travel Log for all employees and contractors.

Finance and Office Administration:

  • File all incoming purchase invoices on the company system.
  • Review and approve expense reports.
  • Generate sales invoices and log sales invoice numbers to the Project & Proposal Log.

Office Operations:

  • Order office supplies and stationery as needed.
  • Arrange shipments and deliveries.
  • Maintain a Log of all company Purchase Orders.
  • Update the Company Leave Calendar with public holidays and staff leave details.
