Sales Operations Coordinator at ROSE & YOUNG RECRUITMENT LTD

Salary: £25,000 per annum + Excellent Company Benefits

Job Overview:

The primary objective of this position is to ensure that customers have a dedicated point of contact for their sales orders from initiation through to delivery and training.

This role necessitates effective collaboration across various departments, including liaising with the Sales Manager, Sales Director, Workshop, Demonstration, and Customer Sites, either directly or indirectly.


Key Responsibilities:
  • Responding promptly to customer inquiries via phone and email, adhering to established procedures.
  • Serving as a secondary contact for all customers following initial sales interactions.
  • Processing customer orders accurately, ensuring immediate issuance of order acknowledgments for customer approval, utilizing SAP.
  • Coordinating the entire order process from placement to delivery, aligning with customer delivery expectations, and collaborating with Parts and Stores, Workshop Personnel, and the Transport Department.
  • Providing customers with regular updates on their order status through phone and email, while maintaining comprehensive records of all correspondence in SAP.
  • Completing all administrative tasks and supporting the Sales team with necessary documentation to facilitate smooth account management.
  • Establishing a Customer Contact Strategy for ongoing communication and ensuring a seamless handover for aftersales support.
  • Managing outstanding and back orders daily, maintaining customer communication regarding extended lead times and parts delivery.
  • Escalating any issues affecting order fulfillment to the Line Manager.
  • Addressing customer complaints or issues promptly, escalating as necessary.
  • Participating in bi-weekly forecast meetings to ensure accuracy in order and machine tracking for informed decision-making.
  • Adhering to all Health & Safety regulations at all times.

Required Skills:
  • Minimum of 3 years of experience in Sales Administration or Customer Service.
  • Proficient in MS Office applications.
  • Strong educational background.
  • Exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to meet deadlines effectively.
  • Preference for candidates with SAP/CRM experience.
