Job Description

This Business Support role is based in a dynamic and fast-paced environment, alternating between two office locations in London, to primarily support the Corporate Transactional team. The employee will be required to provide business support to the Corporate Transactional team, which will include management of post, couriers, incoming calls, arranging meetings as and when required, management of meeting room calendars and management of meetings. As well as business support, the role is required to provide administrative and general office support to enable colleagues to deliver client activities.

Main Responsibilities and Duties
  • Mail Management: Manage, sort, and scan all incoming and outgoing Corporate Transactional mail and distribute accordingly in line with dedicated processes and SLAs.
  • Company Searches and Filings: Conduct Corporate Transactional company searches and filings with Companies House.
  • World Checks: Perform Corporate Transactional World Checks.
  • Viewpoint Administration: Manage Corporate Transactional team Viewpoint administration.
  • Visitor Access and Security: Provide a dotted line report into the local ICS Operations Associate Director to support with visitor access and ensure security and sign-in processes are adhered to by following the relevant building procedures.
  • JTC Hospitality: Work alongside the London Office Support role to manage JTC hospitality for client and internal meetings/offsites.
  • Meet and Greet: Meet and greet visitors (in person or on the telephone) in a professional yet friendly manner, maintaining the expected JTC standards.
  • Telephone Calls: Answer telephone calls and redirect to relevant employee or refer any queries appropriately.
  • Courier Management: Co-ordination of couriers, notifying of delays, ensuring accurate records are kept of couriers sent and received.
  • Meeting Room Management: Maintain safe, clean and professional meeting rooms for visitors; setting up meeting rooms and boardrooms and provide refreshments, liaising with the meeting organiser to ensure the requirements are met.
  • Reconciliation of Records: Reconciliation of Companies House records for potential revenue opportunities where clients use JTC address without knowledge.
  • Post Processing: Processing of registered office post for the rest of the London business (manage, sort, scan).
  • Compliance and Risk: Adhere to Risk & Associated Compliance procedures in relation to regulatory requirements and AML legislation.
  • JTC Core Values: Adhere to JTC core values and expected behaviours.
  • Contractual and Statutory Obligations: Awareness and adherence to contractual and statutory obligations under the Group's policies, procedures and guidelines, including the Group's core values and expected behaviours.
  • Other Duties: Any other duties as deemed necessary by Management.
